A practical guide for wholesalers and distributors starting their first order

China has a large aftermarket auto parts industry, so there are plenty of suppliers to choose from. The difficult part is usually not finding someone who can give you a price. It is finding a supplier who understands the products you need and can keep supplying them consistently after the first order.

If you are new to sourcing suspension parts from China, you do not need to prepare a perfect purchasing list or place a large order straight away. It is usually better to start with a few models, check the supplier carefully, and see how the first order goes.

Start With a Few Clear Part Numbers

The easiest way to start a conversation with a supplier is to send the OE numbers you need.

If you do not have the OE numbers, vehicle information can also work. Give the make, model, year and engine where possible.

For example, instead of simply saying:

Toyota Hilux suspension parts

you could send:

Toyota Hilux, 2018, front, OE XXXXX, 50 pcs

That gives the supplier something specific to work with.

This is also a good way to avoid spending time discussing hundreds of products before you know whether the supplier has the right range for your market.

For a first inquiry, even 5–10 part numbers can be enough.

Decide What Kind of Supplier You Need

Not every Chinese auto parts supplier works in the same way.

Some are manufacturers with their own production lines. Some mainly source products from different factories. Some do both, depending on the product.

If you are buying a wide range of unrelated parts, a trading company may sometimes be convenient.

If most of your business is suspension or chassis parts, however, it can be useful to work with a supplier that knows these products well and can handle repeat orders.

This becomes more important when you start asking about things such as OE applications, product changes, packaging, MOQ or quality issues. You want someone who can actually discuss the product with you, rather than simply forward a price from another factory.

Don't Compare Suppliers by Price Alone

When you receive several quotations from China, the cheapest one will probably get your attention first. That's normal.

But check what you are actually comparing.

Is the product specification the same?
Is the MOQ the same?
Does the price include the packaging you need?
Is the lead time realistic?
Are you comparing the same quality level?

For example, one supplier may quote a lower price for a neutral product, while another is quoting with a different specification or packaging.

For wholesale business, a small difference in unit price is often less important than whether the product can be supplied consistently six months later.

So when comparing quotations, look at the whole order rather than just the number beside the product.

Check the Supplier Before You Order

You do not need to carry out a complicated factory audit for every supplier you contact.

Start with the basics.

Look at what products they actually specialize in. Ask how long they have been exporting. If they say they are a manufacturer, find out which products are made in-house and which are sourced from partner factories.

It is also worth asking about quality control and packaging, especially if you are planning regular orders.

If you need your own brand, discuss that from the beginning. Private-label packaging can involve different MOQs and production requirements from standard packaging.

The supplier's answers will tell you quite a lot about whether they are suitable for your business.

Make Sure the Part Is Correct Before Talking About Quantity

One of the more common problems with aftermarket parts is not the price. It is the application.

The same vehicle name can cover different years, engines or versions, and one model may use more than one part number.

That's why OE numbers are so useful.

If you have an OE number, send it. If you are working from a vehicle application, provide as much detail as you have.

This is particularly important for suspension and steering parts, where the wrong application can look very similar to the correct one.

If you are unsure, ask the supplier to confirm the application before placing the order rather than trying to solve the problem after the goods have arrived.

Start Small if You're Testing a New Supplier

There is no reason to make your first order larger than necessary just to get a better-looking price.

If the supplier is new to you, a small trial order can tell you a lot.

You can check whether:

  • the parts fit correctly
  • the quality matches what was discussed
  • the packaging is acceptable
  • the quantities are correct
  • the supplier ships on time
  • communication remains smooth after the order is placed

If everything works well, you already have a basis for the next order.

And if something does go wrong, it is much easier to deal with a small first order than a container full of products.

Discuss Packaging Early

Packaging is easy to overlook when you are mainly focused on product prices.

For standard wholesale orders, neutral packaging may be enough. Other buyers may need a supplier's brand or their own private-label boxes.

These options can have different MOQs and lead times.

If you want your own packaging, discuss:

  • Box design
  • Labels
  • Barcodes
  • Product numbers
  • Carton markings
  • Packaging quantity

before production starts.

It is much easier to solve these details at the quotation stage than when the goods are already being prepared.

Confirm the Order Details in Writing

Once you decide to move forward, make sure both sides have the same understanding of the order.

The final confirmation should cover the product numbers, quantities, prices, packaging, production time, payment terms and shipping arrangement.

If you use your own freight forwarder in China, also confirm where the goods will be delivered and when they will be ready.

Most problems in an international order are not caused by one big mistake. They often come from small details that were never clearly confirmed.

Consider an Inspection for Larger Orders

For a first large order, some buyers arrange an inspection before shipment.

This can be done by a third-party inspection company or a local inspection partner in China.

Depending on the order, they may check the quantity, packaging, labels, appearance and selected samples.

It is not something every small order needs, but it can make sense when the order value is high or when you are working with a new supplier for the first time.

Think Beyond the First Order

If you are buying for a wholesale business, the first order is really a test of the supplier relationship.

After that, you will probably care more about whether the same product can be supplied again at a similar quality level, whether the packaging can be repeated, and whether new models can be added without starting the whole process from zero.

That's where a supplier becomes more useful than simply a company that gives you a good first quotation.

A reliable supply relationship should make the second, third and tenth order easier than the first.
